The start line for each project will depend on several variables, which may or may not be fully realised when you make your initial contact with Informa. Therefore, it is critical that Informa establishes the scale and practicalities of the proposed project.  
If your organisation has already determined the volume, budget, and job specifications of the project, then a phone consultation would suffice. However, if your organisation is looking for information management solutions, but unsure of what your options are, then we would advise a site visit. This way all you need to do is answer OUR questions and we will find affordable solutions that best suits YOUR needs.   

Once the site visit/phone consultation is complete, and all the initial information has been collated, Informa will draw up a draft proposal quote. The quote will quantify and qualify all solutions discussed in step 1. This step may require some further conversations to determine the baseline specifications of the project.  

By now your organisation has decided to take the project to the next step, which is all about tailoring your needs to OUR solutions. This phase involves determining all the necessary variables that are needed to make the project a success i.e., identifying all stakeholders and the project team, confirming project objectives and deliverables, defining resources and budget, considering project tasks and limitations, and establishing deadlines and above all TRUST.  

In the scoping phase, under resources, and through collaboration with Informa, your organisation will determine whether an internal system will operate the digitised data, or whether an external platform is required. Either way compatible demo/sample files will be generated, if requested, to the agreed specifications and piloted on the system. Operators will utilise all search and retrieval functions (as agreed) on the system, in real time, with Informa’s guidance and support.  

At this stage all systems have been tweaked and the project team are happy to continue to the scheduling phase. Secure collection of files is arranged, with our own vehicles and dedicated drivers. Arrangements and costs for file requests on demand, mid project, will be agreed upon, with a quick turnaround either hardcopy or digital. Progress reports will be transparent and built into the scheduling plan, as well as on request.  

This final step is as broad as it is long! Your organisation will determine the who, the what, the why and the how of the project moving forward, and in tandem with Informa training, together, will make your digital transformation a reality. Irrespective of your staff’s skill set, Informa will ensure optimal functioning of the system and troubleshoot any difficulties you may have. The pandemic from 2020-2022 accelerated change at a far greater rate that anyone ever expected. Overnight hybrid working became the norm.
